How do we put less work into manual actions for our administration?

Self-service on automation: What benefits can it provide for our organization?

You know it. Someone has to take an action to be in contact with your organization. There is often a lot of work behind the scenes. From a telephone call to entering into a system, copying to another system, keeping track in an Excel list, exporting to your drive,... in short, a lot of administrative manual actions for your employees.

What if you could reduce these actions to a minimum and give your people the opportunity to use their time for what they are passionate about?

We started working on this with Call for Challenges. A search for optimization of self-service (Independent management by users) and possibilities for optimization.

About the customer

A lot of time wasted on administration

What exactly does Call for challenges do?

Organizations are confronted with challenges on a daily basis and our education system is always looking for meaningful learning experiences for students. Call for Challenges is a platform that connects both and facilitates collaboration.

But everything is entered manually…

While the people behind the scenes are the backbone of the site, this manual administration wastes time and resources without really adding much value to the end user.

The strategy

Enhance the site with self-service and automation

When rebuilding a website, it is important to ensure an effective strategy with a focus on conversion. Our assignment was to ensure a well-thought-out strategy and a pleasant user experience that can interest and engage visitors. Moreover, it resulted in a reduction in manual actions in administration.

We started with the self service environment for Ugent employees and companies, in which the entire process of account creation, approval, submissions and contact requests was automated as much as possible.

UGent staff can easily log in via their existing UGent account via Microsoft Azure SSO and companies can create their own account.

The purpose of this solution was to reduce administrative tasks and free up time at the organization so that they can devote their time to more valuable activities.

This automated approach allows employees and companies to handle their affairs more efficiently, resulting in a smoother workflow and a more pleasant user experience.

Keep overviews with custom dashboards

For the site administrators, we paid special attention to the development of op custom dashboards with useful overviews and statistics.

As a result, they always have a complete overview of the activities on the website and they can proactively identify problems and easy intervention when necessary.

This way our administrators have control over the website and can ensure an optimal user experience for our customers.

Scaling through automation and self-service portal

Conclusion

Let your active users get started on the website themselves. The organization is no longer a bottleneck for the operation of the site and can focus on what is really important: Growing the website and supporting the users if necessary.
